Outlook – Old Emails Are Lost
You may not see older messages when using the client. The two most common reasons are:
- Policies – Automatic Deletion of Emails after a Certain Time [menu]
In some folders, the emails are automatically deleted after some time. All users are set to delete junk mail after 30 days; users can set it for other folders. For details, see Policies – Automatic Deletion of Emails after a Certain Time.
- Size of Local Cache [menu]
In many cases, mail clients locally store only the latest mail. Outlook for Windows/macOS usually downloads mail from the last 3 months to 12 months (the value depends on the particular version and the amount of free disk space). Usually it is stored on mobile devices for the last week or 14 days. Microsoft Outlook for Android and iOS uses a slightly different approach – each folder has a maximum of 500 latest messages.
