Purpose and scope

This guideline regulates the life cycle of an identification card at the Prague University of Economics and Business (hereinafter referred to as “VŠE”), in particular its issuance, use and disposal. The regulation applies to all persons who are in employment, study or other contractual relationship with VŠE.

1. Identity Card

  1. An identification card (hereinafter referred to as ‘IDC’) is a technical device which allows a unique personal identification (electronic or visual) of its holder.
  2. The issue of IDC is provided by the Identification Card Administration (hereinafter referred to as “Administration”), which is a specialized department of the Computer Center of the Prague University of Economics and Business. Applicants may choose IDC according to the offer and valid price list on the website of the Computer Center of VŠE. The IDC issued at the expense of the VŠE remains the property of the VŠE and the user is obliged to return the IDC after the termination of the employment, student or other free contractual relationship (hereinafter referred to as “external relations”) with the VŠE. this ratio. IDC employees and external workers return to the Administration and confirm their return to the Administration. Students return the IDC to the relevant study assistant.
  3. IDC is used mainly to prove identity at the Prague University of Economics and Business. Each cardholder is obliged to prove it at any time on the premises of the school in situations where circumstances require identification (in particular computer classroom and study room services, VŠE libraries, lecturer teachers, lecturers, examinations, study officers and security agency staff).
  4. In case of suspicion of misuse of IDC, the staff of VŠE referred to in paragraph 3 may request identification by another official document (identity card, passport or driving license).
  5. The VŠE personnel referred to in paragraph 3 may withhold this card in case of suspected misuse of IDC. These staff are required to issue an IDC detention certificate (Appendix 1 – IDC Detention Confirmation). The certificate shall be made in two copies, one of which shall be received by the person who has been detained by IDC. The second copy shall be retained by the person who has detained the IDC and, together with the IDC, without undue delay shall submit it to the Administration, whose staff shall acknowledge receipt. In this case, the administration will assess whether the IDC has been misused and possibly block it in the database.
  6. The IDC Holder is liable for any damage caused by misapplication of this IDC.

2. Production and issue of identification cards

  1. Every VŠE employee or student or user in a different contractual relationship with VŠE (hereinafter referred to as “external user”) is obliged to come fot the Administration for arranging an issuance of the identification card.
  2. The applicant for IDC is obliged to prove himself/herself with a valid identity card (identity card, passport or driving license) at the request of an employee of the Administration.
  3. An applicant for an IDC may only receive an IDC that is appropriate to his / her current employment, student or external affiliation at the Prague University of Economics and Business.
  4. Prior to proving himself/herself, the applicant for IDC is obliged to fill in the form “Consent to the processing of personal data” according to the type selected by IDC and submit it to the employee of the Administration. The offer of cards and the valid price list can be found on the website of the Computer Center of VŠE.
  5. The applicant for IDC is obliged to produce a valid identity card (identity card, passport or driver’s license) at the request of an employee of the Administration.
  6. An applicant for an IDC may only receive an IDC that is appropriate to his / her current employment, student or external affiliation at the Prague University of Economics and Business.
  7. Prior to its issuance, the applicant for IDC is obliged to fill in the form “Consent to the processing of personal data” according to the type chosen by IDC and submit it to the employee of the Administration. The offer of cards and the valid price list can be found on the website of the Computer Center of VŠE.
  8. The IDC Applicant shall pay to the employee of the Administration, in the case of charged IDC, the acquisition fee in cash according to the valid price list.
  9. In case the applicant has more relations to the University of Economics (e.g. employee and student at the same time) he owns only one active IDC, i.e. IDC, on which all the functionalities are concentrated.
  10. The photograph of the applicant on IDC is taken by an Administration employee prior to the production of the IDC and must be in an appropriate format and appearance. In the photograph it is forbidden to have a headgear and other objects that would ultimately make the identification of the applicant impossible (sunglasses, scarves, headbands, etc.).
  11. Upon receipt of the IDC, the applicant is obliged to sign the IDC physical receipt form. The applicant shall receive this signature form from the Administration employee.

3. IDC validity, loss, blocking and reissuance

  1. The IDC shall cease to be valid if it is damaged, altered, contains data which does not correspond to the facts or otherwise fails to reliably identify the person.
  2. Proof of invalid IDC shall be considered as misuse.
  3. In the event of expiry, loss or if IDC has been detained, the IDC Holder shall immediately inform the Administration, which may block the IDC.
  4. The issue of a new IDC is governed by the same rule as for the original IDC. The price for the charged IDC is paid in full according to the valid price list. If the user finds his original IDC again, the purchase fee cannot be refunded.
  5. IDC blocking shall also be carried out in the following cases.
    • automatically after the end of the relationship with the University of Economics (employee, student and external person),
    • at the holder’s request (loss, theft or suspicion);
    • in the event of a reasonable suspicion of loss or misuse of IDC or a technological need.

4. Services provided to IDC holders

  1. VŠE provides IDC holders with services corresponding to their current employment, student or external affiliation at VŠE, in particular:
    • access to computer technology,
    • access to protected and guarded rooms equipped with an entry electronic system,
    • copying and printing for remuneration,
    • payment of meals in the canteen of the University of Economics,
    • services of libraries of VŠE,
    • storage in lockers,
    • entrance to the VŠE parking lot,
    • entrances to VŠE dormitories,
    • issuing initialization passwords to access the computer network.
  2. Up-to-date information on provided services is published on the website of the Computer Center of the Prague University of Economics and Business.

5. Final Provisions

  1. The Director of SÚZ for dormitories and refectories and the Secretary of the Faculty of Management for the Faculty of Management shall modify this order on their own terms.
  2. The VC Director and the CIKS Director may modify the conditions for the production and distribution of IDC to external users using only CIKS services.
